Overview


As a member of the Resident Experience and Operations team, the Program Coordinator will be responsible for meeting organizational goals and managing day-to-day operations in the areas of resident experience and support, data management and certification, and resident onboarding support. You must demonstrate effective and efficient project management and must be capable of exercising initiative, discretion, and good judgment.  You will report to the Director of Resident Experience and Operations and support site team leadership. This position will involve occasional travel throughout Philadelphia, PA (to school sites and site events)  and will require flexibility outside of traditional working hours, including occasional evening and weekend events.


Responsibilities


The primary responsibilities include, but are not limited to, the following: 


Resident Experience and Operations Support - 40%


  • Assist the Director of Resident Experience with coordination, communication, and correspondence of resident events, workshops, and trainings, while effectively managing logistics.
  • In collaboration with the Director of Resident Experience, support in the scheduling and execution of 1:1 resident check-ins and site visits.
  • Build resident compliance trackers to effectively monitor clearances, certifications, and school onboarding items.
  • Support on multiple resident-facing projects in collaboration with the Director of Resident Experience These projects include: local recruitment activities, cultivation outreach and activities, hiring, and placement support.
  • Participate in organizational and site recruitment activities to meet cohort goals
  • Conduct initial research that will allow the Resident Experience team to build a community engagement strategy.
  • Manage AmeriCorps grant compliance at the site-level
  • Manage participant termination and resignation protocols
  • Keep the leadership team data-driven and support them in identifying progress towards strategic goals


Data management and Certification - 40%


  • Maintain all site-based data in electronic databases (Salesforce, Box, Asana); monitor record-keeping procedures for accuracy, including quarterly audit of resident data
  • Assist in the development, administration, and collection of surveys, forms, and questionnaires, ensuring quality completion rates.
  • Manage the state teacher licensure process for residents and fellows from Intern Certificate through Instructional I
  • Maintain data tracking tools to confirm that teachers submit proper documentation in compliance with the Pennsylvania Department of Education (PDE)
  • Collaborate with the school partner certification team to ensure proper licensure
  • Stay abreast of all updates to state certification policy, including licensure assessment requirements.


Resident Onboarding Support - 20%


  • Lead confirmation activities for incoming 2023 cohort members, returning Early Deadline and Deferral Candidates
  • Coordinate testing and enrollment support for incoming 2023 cohort
  • Manage ongoing cultivation efforts and strategy. This would include: ambassador program, weekly office hours, regular one on ones/ check-ins with incoming participants, connecting them with faculty or coaches, meet and greet events, and planning site visits.


Target Start Date: October 10, 2022


Location:  Philadelphia, PA - mostly remote initially. Though work will be mostly remote initially, periodic visits to office/school site(s) in Philadelphia will be needed. Therefore, it is preferable that candidates for this position are within a commutable distance of the Philadelphia area.


Compensation:  $57,705 & is subject to a geographic differential which could increase or decrease it by 4% or 8% depending on city of residence. We are an anti-racist organization that prioritizes equity so we do not negotiate salaries.


Covid-19 Vaccination requirement:  All Urban Teachers employees, including those working remotely, must show proof of Covid-19 vaccination.  New employees will be required to show proof of vaccination before they begin their role.  There will be exemptions for medical or religious reasons (exemptions must be approved by HR).


Qualifications 

  • Bachelor’s degree and a minimum of two years of school-related experience, preferably in a high-need setting.
  • Experience and expertise in database management, design and implementation.
  • Strong project management skills.
  • Ability to make decisions and problem-solve in accordance with established procedures.
  • Outstanding communication and interpersonal skills
  • Excellent organizational and time management skills
  • Attention to detail
  • Knowledge of Microsoft Office with proficiency in Excel
  • Knowledge of Salesforce, Box, and Asana (strongly preferred, but not required)
  • Connection to PHL is a plus, but not required
  • Knowledge of or experience with state teacher certification processes (strongly preferred, but not required)
