Overview

The Associate Director of Human Resources is responsible for and provides support for various human resource functions within the organization for employees, contractors, and other entities that work with Urban Teachers (i.e., faculty, volunteers, interns, etc.). The Associate Director of Human Resources will work closely with finance to complete bi-weekly payroll and benefit processing and administration, supporting accounts payable weekly requests, and compliance requirements with taxes, state, federal and business regulations, and insurance management. This person will provide high quality, comprehensive HR services to all employees by providing resources and guidance to all employees in regard to new hiring onboarding, benefits administration, updating organizational databases, completing audit requests, and offboarding procedures.


Responsibilities


Payroll:

  • Process the payroll with the Finance team biweekly to make adjustments affecting employees including but not limited to salary changes, retirement plan contribution rate changes, calculating prorated pay for new hires or departing employees, and importing hours from Paychex Time & Attendance module.
  • Support the Finance team with additional accounts payable requests including printing and mailing checks.
  • Manage payroll integration and reconciliation to all reports for retirement plans 


Benefits Administration:

  • Monitor employee eligibility for benefits plan (medical, FSA, dental, vision, life, disability, retirement, etc.) including organizing and managing annual open enrollment communication and election process while also keeping a pulse on regulatory changes and updating the Talent and Finance teams for implications and needs for adjustments.
  • Review benefits with employees and process enrollments, cancellations, or changes while also continuing to answer employee questions regarding benefits throughout their employment journey
  • Analyze overall packages and individual offerings for factors such as inclusivity, competitiveness, generosity, and cost. Look for and evaluate alternative benefits to either replace or enhance current offerings. Assist annual renewal with third-party broker
  • Review enrollment data and carrier feeds for accuracy, coordinate enrollment with third-party administrators and vendors, and verify benefit billing accuracy and process for payment.
  • Managing leave administration including but not limited to Paid Family Leave, short-term and long-term disability, PTO, and Comp Time requests


Employee Relations:

  • Maintain personnel data management systems (BambooHR, Paychex, etc.) for employees, contractors, and other entities that work with Urban Teachers to provide information and reports as necessary.
  • Provide support for all recruitment and new hire activities including the applicant tracking system to post positions on appropriate sites, track job postings, support hiring managers, communicate offers and offer letters, and close job positions.
  • Assist with employee onboarding by managing documentation, receiving references, conducting HR orientation, and providing resources and guidance to hiring managers and new employees.
  • Provide necessary HR maintenance by continually updating the internal website (InfoCentral), strengthening processes and forms, creating documentation, drafting new policies and procedures, etc.
  • Process all employee status changes accurately and in a timely fashion in regards to new employees, staff position changes, and offboarding.
  • Ensure compliance with all legal requirements including collection of background checks, I-9 paperwork for new hires, processing garnishments and levies accordingly in payroll, and adhering to local income and unemployment taxes requirements
  • Communicate with employees as necessary regarding any missing documents, etc.
  • Handle discipline and termination of employees in accordance to Urban Teachers policies


Compliance and Auditing:

  • Responsible for annual reporting and compliance including but not limited to W-2 distribution, ACA reporting, FLSA requirements, I-9 requirements, EEO-1 reporting, and internal policies adhere to all state and federal regulations
  • Report, maintain and monitor all workers' compensation case files; follows-up on open cases.
  • Administer and assist in the audit of the 403(b) retirement plan and ensure timely and accurate filing
  • Manage the insurance (entity liability coverage, employment practices liability coverage, general and professional liabilities, umbrella, workers compensations, ERISA bond, etc.) renewal process with third-party broker.

Covid-19 Vaccination requirement:  All Urban Teachers employees, including those working remotely, must show proof of Covid-19 vaccination.  New employees will be required to show proof of vaccination before they begin their role.  There will be exemptions for medical or religious reasons (exemptions must be approved by HR).


Qualifications 

  • Bachelor's degree in HR or related field
  • Minimum of 3 years HR administration experience with prior payroll, compliance, and benefits management experience
  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) current certification preferred.
  • Nonprofit HR experience preferred
  • Understanding of insurance renewal process preferred
  • High level of interpersonal and ethical skills to handle sensitive and confidential situations and documentation.
  • Excellent written and verbal communication skills.
  • Effective and accurate multi-tasking skills including meeting multiple deadlines for competing priorities
  • High level of teamwork with the ability to collaborate within and across departments.
  • Strategic thinker with strong organizational and problem-solving skills; ability to think and work independently, prioritize, and strategize.
  • Proficiency in Microsoft Office Suite and G-Suite products. Experience using database (BambooHR, Paychex, Concur, NetSuite) and cloud-based software (Salesforce) preferred
  • Ability to learn quickly and incorporate understanding
  • Attention to detail in composing and proofing materials, establishing priorities, and processing human resource actions.
